Privacy Policy

This policy explains how HomeInspectOS (“we”) handles personal information, and is issued in terms of the Protection of Personal Information Act 4 of 2013 (POPIA).
1. Who we are
HomeInspectOS is software used by independent home inspection businesses to run their operations. We are the responsible party for account data belonging to those businesses. Where a business uses our software to record information about their own clients and properties, that business is the responsible party and we act as an operator on their instruction.
2. What we collect
- Account information — name, email address, phone number, business name, registration and VAT numbers.
- Operational data — jobs, inspection findings, photographs, reports, quotes and invoices created by the business.
- Client information — names and contact details of the business's own clients, and the addresses of inspected properties.
- Payment information — handled by PayFast. We never receive or store full card numbers.
- Technical data — IP address, browser type and usage logs, used to keep the service secure and working.
3. Why we process it
To provide and support the service, authenticate users, produce reports and invoices, take subscription payments, and meet our legal obligations. We do not sell personal information, and we do not use client data to train AI models.
4. AI-assisted features
Some features use a third-party AI provider to draft narrative text from findings the inspector has recorded. Only the findings text is sent — never contact details or photographs. Output is a draft for the inspector to review and edit; it is not a professional opinion in itself.
5. Sharing
We share personal information only with:
- Supabase — database and file hosting
- Vercel — application hosting
- PayFast — payment processing
- Resend — transactional email
- Anthropic — AI drafting, as described above
We may also disclose information where the law requires it.
6. Where data is stored
Data is hosted in the European Union. Where information leaves South Africa, we rely on the recipient being subject to laws or binding agreements that provide protection substantially similar to POPIA, as section 72 requires.
7. How long we keep it
Account and operational data is retained for as long as the account is active, and for up to 12 months afterwards so it can be restored on request. Financial records are kept for five years where tax law requires. You may request earlier deletion.
8. Your rights
You may ask to access, correct, or delete your personal information, object to its processing, or lodge a complaint with the Information Regulator of South Africa. Contact us at hello@homeinspect.co.za.
9. Security
Access to data is restricted per business account and enforced at the database level. Traffic is encrypted in transit. No system is perfectly secure, but we will notify you and the Information Regulator of any compromise as POPIA requires.
10. Changes
We will post any changes on this page and update the date above. Material changes will be communicated to account holders by email.
